This privacy policy details the personal data that we (SW1 Estates (Lettings) Ltd, t/a Iles Property) collect within our services to you and explains how and why we use this data, how we store this data, who may see this data and when you may be contacted.

This privacy policy sets out the principles governing our use of personal information that we may obtain about you. By using the website, or by registering as a user of the services that we provide, you agree to this use.

Our website contains links to other websites and the privacy policies and procedures described here do not apply to those sites.

SW1 Estates (Lettings) Limited, t/a Iles Property, is a property consultancy that collects personal data in order to process a property sale, acquisition, letting, property management services or other property matter or to provide advice for a client and/or their solicitor. Our Company Number is 6228088. SW1 Estates (Lettings) Limited's legitimate interest in processing this data is the property consultancy services it provides to clients.

The information we require may include name, postal address, email, IP address, telephone number/s, passport details, date of birth, copies of bank statements/utility or Council Tax bills and bank details.

If the nature of your contact with us is to search for a suitable property to purchase or rent, we will stay in contact with you until you inform us that you have fulfilled your property requirement and would like us to stop storing your information.

Why we collect your data

We need to know your basic personal data and occasionally more detailed information to provide you with part or any of the above services and in order to comply with RICS and/or HMRC Money Laundering regulations.

How we use your personal data

We use the information we collect to conduct our business as outlined above. However, with regard to the receipt of this data and due to the global nature of technology the information you give us may be transferred in transit to countries outside the European Economic Area that may not have protections in place regarding your data and its use. Please be aware that by submitting your information you are agreeing to these transfers.

No third parties, with the exception of your solicitor (if appropriate) will have access to your personal data unless the law allows them to do so. There may be occasions when we obtain information about you from other publicly available sources such as the Land Registry, social media or referral agents etc.

We neither forward client details to any third parties for marketing purposes nor do we do mass mail outs. We may use a third party tool such as Mailchimp to highlight property information to businesses/clients on an occasional basis if they have agreed to receive this.

Copies of our invoices to clients may be shared with our accountant who has appropriate protocols in place.

From 25th May 2018 a copy of our Privacy Policy will also be sent to clients with our Letter of Engagement and Terms of Business.

Contact

We may get in touch with you by email, post or phone unless you notify us that you no longer wish to be contacted by us. In the meantime we are sending a copy of this Policy Notice to all our contacts prior to 25th May 2018. You can remove your details by unsubscribing.

How long do we keep your personal data

If you are clients of Iles Property and we sell, let, acquire or manage property for you, we will store your personal data for the period we are required by law to do so. Thereafter, we will of course stop storing your details should you so request.

We are required under UK tax law to keep your basic data (name, address, contact details) for a minimum of 6 years or longer if it is deemed necessary to comply with HMRC Money Laundering or RICS requirements.

How you can access, amend or remove your own personal data

We take your personal privacy and data very seriously and do our utmost to comply with GDPR at all times.

Upon request we will provide you with a readable copy of the personal data which we keep about you, although we may require proof of your identity.

We allow you to challenge the data that we hold about you and, where appropriate, you may have the data amended, erased or completed.

Changes to this policy

We reserve the right to modify this privacy policy as we may deem necessary from time to time or as may be required by law.

Any changes will be published on our website and you are deemed to have accepted the terms of the policy on your first use of the website following the alterations.
